You upload your documents to EVANA. You'll have access the same day. In 20 minutes, we'll jointly determine which documents will be included in the sprint and how you want to measure success.

EVANA works with your actual documents for 14 days. Simply drag and drop contracts, addenda, and supporting documents into the system, even old scans. EVANA reads and classifies the documents, and answers your questions from the very first document.

What we are most often asked before the start
We already have SharePoint, Teams, or a DMS. So why would we need EVANA?
A filing system stores documents. EVANA reads them. No folder, no matter how well-maintained, can tell you which contracts expire in 60 days and under what conditions they renew. EVANA works alongside your existing filing system; you don't need to replace anything.
How reliably does the AI read old scans, and what happens in case of an error?
The classification is 98 %, trained on real estate documents since 2015, even on poor-quality scans. But what's crucial is something else: Every extracted value is linked to its location in the original document. So you not only see the number, but also where it comes from, and if necessary, you can check and correct it in seconds.
Does IT need to be involved?
Not for the sprint. EVANA is a cloud solution: no server, no installation, no interface. You log in via your browser and upload documents. IT only gets involved later when you want to connect additional systems.
How much effort will we have in the 14 days?
Simply compile and upload the documents, that's all. Plan for one to two hours, spread over the two weeks, plus a kickoff and closing meeting. Onboarding support is included.
What documents do you need from us?
Commercial lease agreements including amendments, operating permits, energy performance certificates, and fire safety certificates, if available. PDFs are sufficient; scanned copies of older contracts are also acceptable. If something is missing, that's no problem: identifying gaps is part of the process.
We are a franchise system. Are our partners required to disclose their terms and conditions?
No, and that's precisely where most attempts fail. Franchisees upload their contracts themselves and immediately benefit: deadline alerts, completeness, and time savings. The franchisee decides what the head office sees. Transparency arises voluntarily rather than by directive.
What happens to our data if we don't continue after the sprint?
Your documents and the data derived from them will be deleted at your request. EVANA is ISO 27001 certified, TÜV-tested, and GDPR-compliant; you will receive the data processing agreement before we begin.
What will it cost if we then roll it out to all locations?
Between €39 and €49 per location per month, depending on the number of locations. For 150 locations or more, we'll discuss a customized offer. The sprint is non-binding: it ends automatically if you don't take any further action.
And what if we don't see a ROI?
Then you'll get the €990 back. We'll jointly define the criteria for success at the kickoff meeting, so that both sides are on the same page at the end.
